This notice describes the handling practices Auxiom Pty Ltd applies to personal information collected through the Mayport website. References to rights or complaint avenues under the Privacy Act 1988 apply where that Act applies to the relevant handling activity.
1. Who this notice covers
Mayport Consulting is a registered business name of Auxiom Pty Ltd (ABN 68 646 591 951). In this notice, “Auxiom”, “Mayport”, “we”, “us” and “our” refer to Auxiom Pty Ltd in connection with the Mayport website and consultancy business.
This notice applies to personal information handled through:
- visits to mayport.com.au;
- the Mayport contact form;
- expressions of interest and recruitment correspondence; and
- related communications initiated through the website.
It does not describe information handling under a client engagement or an external recruitment platform where separate terms or notices apply.
2. Information we collect
Depending on how you use the website, we may collect:
- your name and email address;
- your organisation, if provided;
- the enquiry type and message you submit;
- your location, discipline, experience summary, work preferences and availability when registering an expression of interest;
- a professional-profile link you choose to provide;
- correspondence and records of our response; and
- technical information generated when your browser connects to the website and its security services.
You may browse the website without identifying yourself. You may use a pseudonym for a general enquiry, but we need a working email address if you want a response. If you do not provide required form information, we may not be able to respond to an enquiry or consider an expression of interest. Optional fields may be left blank.
Do not send classified (including PROTECTED), security-sensitive, export-controlled or client-confidential material through the website.
3. How we collect information
We may collect personal information:
- directly from you through website forms and correspondence;
- automatically when your browser connects to the website and its security services; and
- from a referee or other recruitment source with your consent, or where it would be unreasonable or impracticable to collect it from you and the collection is otherwise permitted by law.
4. How we use information
We use personal information to:
- respond to and appropriately route enquiries;
- consider possible alignment with future work;
- conduct recruitment or engagement processes;
- operate, secure, maintain and troubleshoot the website;
- prevent spam, misuse and malicious activity;
- maintain appropriate business and compliance records; and
- meet legal and regulatory requirements.
We do not sell personal information.
5. Website providers and disclosure
Service providers may support website hosting, security, form processing, business email and related operations. The services and settings in use determine what technical or submitted information a provider processes.
We may disclose personal information:
- within Auxiom Pty Ltd to people who require it for the stated purpose;
- to providers supporting the website, business email or recruitment process;
- to professional advisers assisting with a relevant matter;
- with your consent; and
- where required or authorised by law, or where another permitted use or disclosure applies, including in response to a serious threat or suspected unlawful activity.
Service providers receive only the information reasonably required to perform their functions.
6. Overseas processing
Where a technology provider or subprocessor handles information outside Australia, the locations involved depend on the provider, service and production configuration. Information processed overseas may be subject to different privacy and access laws.
Do not use a public website form for information that requires a specific Australian-hosting, security or handling arrangement.
7. Analytics, cookies and security signals
Cloudflare Web Analytics is disabled at launch.
Website security services may assess browser, device and network signals when a form is submitted. Your browser may allow you to block storage or other functions used by a provider. Doing so may prevent a protected form from working.
Mayport does not use the website for third-party behavioural advertising or to build advertising profiles.
8. Security
We take reasonable technical and organisational steps appropriate to the information and the way it is handled to protect it from misuse, interference, loss and unauthorised access, modification or disclosure.
No internet transmission or storage system can be guaranteed to be completely secure.
9. Retention
We retain enquiry information while it is reasonably needed to respond, manage any resulting relationship, maintain appropriate business records or meet legal and recordkeeping requirements.
We keep expression-of-interest information while it is reasonably needed to consider possible future opportunities, manage an active recruitment or engagement process, or meet legal and recordkeeping requirements. When it is no longer needed for a permitted purpose and is not required to be retained, we take reasonable steps to destroy or de-identify it.
You may ask us to delete an expression of interest. We will consider the request and explain if an active process or legal or recordkeeping requirement means information must be retained.
10. Access and correction
Where the Privacy Act 1988 applies, you may ask to access personal information we hold about you or request that inaccurate information be corrected.
We may need to verify your identity before responding. The law may permit or require us to refuse access in some circumstances. Where appropriate, we will explain the basis for a refusal.
11. Privacy concerns and complaints
Send a privacy complaint to the Privacy Contact using admin@mayport.com.au. We will acknowledge and investigate it and aim to respond within 30 days. If we need more time, we will explain why. If the complaint concerns conduct covered by the Privacy Act and we do not respond within 30 days, or you are dissatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner.
Do not include identity documents or sensitive material in the initial message.
12. Recruitment and expressions of interest
An expression of interest is not an application for a current vacancy and does not create an expectation of contact, interview or future work.
Access to expression-of-interest information is limited to people involved in workforce planning and recruitment. If Mayport asks you to provide a CV, identity document, referee details or security-related information, it will provide a separate route and explain why the information is required.
13. Changes to this notice
We may update this notice when our practices, providers or legal obligations change. The current version will show its effective date and last-reviewed date. Material changes apply from the date stated in the updated notice.
14. Contact
Use the Mayport contact form and state that your enquiry is for the Privacy Contact, or email admin@mayport.com.au directly if the form or its security control is unavailable.
